Do I still need to use the Crossware Mail Signature Signature Designer web-app if I have Insert Signature enabled?
Yes. You will still need to create and design your signatures in the Crossware Mail Signature web app. The Insert Signature feature does not replace the need for this, it simply allows you to check applied signature in a specific email you're sending. Any changes you make will not be saved, or centrally applied, to your signature configurations.
Can I access Insert Signature if I am offline?
No. Crossware Mail Signature service is cloud packaged solution and will need an internet connection.
Will I automatically see my signature when I create a new email?
No. Signatures will not automatically appear on each email as Microsoft does not currently support the automatic affixing of these. If you want to see what signature will be affixed for a certain recipient, you will need to click the Insert Signature icon once you have enabled Insert Signature.
Will this functionality be automatically enabled for my organisation?
No. You will not see this feature automatically in your Office 365 environment. We let you decide whether this is appropriate for your unique organisation and give you the opportunity to enable this.
When this feature is enabled only those users who have been granted access to the add-in will have the Insert Signature icon available.
Can I use the Insert Signature functionality on all my devices?
Currently, due to Microsoft restrictions on mobile, Insert Signature is not available for Outlook for iPhone / Android clients. Microsoft is in the process of updating functionality for these clients, so we expect that this will soon be available.
Will changes to signature configurations show up automatically?
If you have already inserted a signature into your email and then make changes to the signature configuration through the web-app, you will need to delete and re-apply the signature in your email to ensure that it is the most up to dates. Changes to signature configurations will take immediate effect and be immediately available when inserting your signature.
Why has the text [ls] been added to my subject line once I clicked the Insert Signature icon?
An inserted signature becomes part of the email body text, therefore, to stop signatures being re-added by the Crossware Mail Signature SMTP servers, the text "[ls]" is pre-pended to the subject line.
A Crossware Mail Signature Rule filters out these emails and ensures that your recipient will not see see this text when they receive your email.
Will I get another signature added at the server when sending?
We have implemented this feature with a rule filter that if a user should insert their signature, the following subject text trigger "[ls]" will bypass the server appending a signature.
